Start with the purpose, not the field list

Before building a form, write down the next action: reply to a quote request, arrange a call or send information the person requested. For each field, ask what decision or response it supports. GOV.UK form guidance recommends adding questions only when the need is clear and using conditional questions when only some people need to answer. This is a design method, not proof that a particular number of fields produces a certain completion rate.

A first enquiry might need a name and one reply channel, plus a short description of the request. Ask for a phone number only when a call or text is relevant; avoid collecting sensitive details “just in case.” The UK ICO describes data minimisation as limiting personal data to what is necessary for the stated purpose.

Explain the data use at the point of collection

Tell the visitor who is collecting the information, what it will be used for, how long it may be retained and how to find the fuller privacy notice. Requirements differ by jurisdiction and context, so get local advice before treating one checklist as a legal answer. Under UK guidance, privacy information should be clear and accessible.

A response to a customer’s specific enquiry is not blanket permission for unrelated promotional messages. If you plan marketing follow-up, assess the rules that apply to the recipient and channel. For example, the UK ICO describes consent and a limited existing-customer exception under PECR; U.S. CAN-SPAM covers commercial email and sets its own requirements. These are jurisdiction-specific rules, not a global standard.

Use persistent labels and instructions rather than placeholders alone. W3C notes that placeholder text disappears during entry and is not a replacement for a label. After submission, show whether it worked and what happens next.
